Connect HubSpot
Let your agent recognize visitors from your HubSpot contacts, and log booked meetings on their timeline.
Connect HubSpot and your agent knows who it's talking to. When a visitor is already a HubSpot contact, the agent sees who they are in HubSpot: their name and company, their owner, their lifecycle stage. It can also speak to an open deal. When a visitor books a meeting, the meeting lands on the contact's HubSpot timeline, so your reps see it where they already work.
This article covers what the connection reads and writes, how to connect it, and how to check it's working.
What does HubSpot sync?
| What ShowPilot reads | What ShowPilot writes |
|---|---|
| The matching contact, with their owner and lifecycle stage | New contacts for visitors who aren't in HubSpot yet |
| Company details for the contact's linked company | Booked meetings on the contact's timeline |
| Open deal context, with stage and amount | The contact owner, only when the contact has none |
| Offer conversions, as a property plus any list or form the offer uses |
What ShowPilot reads from HubSpot
| What | When |
|---|---|
| The contact | A returning visitor carries the HubSpot tracking cookie on your site, or a visitor shares an email that matches a contact. The agent gets their name and company, their owner and their lifecycle stage. |
| Company details | The contact is linked to a company. The company's name and domain are added, along with its industry. |
| Open deal context | The contact has an open deal. The agent sees its stage and amount so it can speak to the active opportunity. |
The cookie is read in the visitor's own browser, on your own site, while they're on the page. There is no background polling of your HubSpot account.
What ShowPilot writes to HubSpot
- New contacts. When a visitor shares an email that isn't in HubSpot, ShowPilot creates a contact for them, so later activity has a record to land on.
- Booked meetings. When a matched visitor books a meeting, ShowPilot logs a meeting on the contact's timeline. The body carries what the agent learned, and the routed rep is the owner when they're a HubSpot user.
- Contact owner, only when empty. When your routing picks a rep for a lead, ShowPilot sets that rep as the HubSpot contact owner if the contact has no owner yet. It never replaces an owner your team assigned.
- Offer conversions. When a visitor converts on an offer, ShowPilot stamps a ShowPilot: Last Conversion property on the contact. If the offer sends to a HubSpot list or form, the contact is added to that list or the form is submitted, so your own workflows run.
Setting the owner needs the owners permission. If the connection predates it, the Meetings page under Inbound asks you to reconnect HubSpot.
Before you start
- An admin role in ShowPilot. Only admins can connect or disconnect integrations.
- A HubSpot login that can approve apps for the HubSpot account you want to connect.
- The HubSpot tracking code on your website if you want the agent to recognize returning contacts before they type anything. Without it, visitors are still matched when they share their email.
How do you connect HubSpot?

Go to Settings → CRM & Sales tools and select the HubSpot card. The page lists the permissions ShowPilot asks for before you connect.
Approve the connection in HubSpot

Check the connection
You land back on the HubSpot page with HubSpot connected. at the top. The Overview tab shows your HubSpot account, the permissions granted and who connected it.
How do you refresh or reconnect HubSpot?

Test it
HubSpot is working when a known contact is recognized in a real conversation:
- Open your website in a private window and chat with your agent.
- Give the agent the email address of a contact that exists in HubSpot.
- Back on the HubSpot page, the Identified visitors count on the Overview tab goes up, and Last sync shows a recent time.
Troubleshooting
| Issue | What to check |
|---|---|
| The agent doesn't recognize a returning contact | Check that the HubSpot tracking code runs on the page, and that the visitor has been tracked by HubSpot before. |
| Company or deal details are missing | The Data flow tab marks those rows Limited when your HubSpot account didn't grant the permission. Select Refresh connection from an account that can grant it. |
| The page shows a last error | Select Refresh connection or Reconnect, then check the page again. |
| The Meetings page asks you to reconnect HubSpot | The connection predates the owners permission. Reconnect so ShowPilot can set contact owners. |
Frequently asked questions
Does the visitor need to type their email to be recognized?
Not if the HubSpot tracking code is on your site and HubSpot has tracked them before. The agent can recognize them from the HubSpot cookie. Otherwise they're matched once they share an email.
Will ShowPilot overwrite the contact owner my team set?
No. ShowPilot sets the owner only when the contact has none.
Does ShowPilot write conversations to HubSpot?
Not today. HubSpot writeback isn't active. What ShowPilot writes is listed under What ShowPilot writes to HubSpot.
What happens to HubSpot records if I disconnect?
Visitor matching stops right away. Contacts and meetings already written stay in HubSpot.
