Checklists
Build the panel that guides viewers through a hub's tours in order, tracks their progress, and ends with your call to action.
A hub with several tours needs a running order, or viewers pick one and leave. A checklist is a panel on the hub page that lists what to watch, ticks tasks off as viewers finish them, and keeps your call to action in view the whole time. It turns a set of tours into a guided evaluation a buyer can finish on their own.
You're in the right place when a hub has more than one tour, or when you want viewers to reach docs, pricing or an experience from the same page as your tours.
What is a checklist?
Each hub has one checklist. It appears on the hub link's page as a floating panel in the bottom-right corner of the tour, with a launcher button that opens and closes it. Every task does exactly one thing when a viewer clicks it:
- start one of the hub's tours,
- open a link in a new tab,
- or open a content experience.
A task ticks itself off when the viewer finishes it. The panel can show a progress bar with the time left, and an optional button pinned to the bottom for your call to action.
The panel uses your brand kit's colors and fonts, in a light or dark theme. See Brand.
Checklists only appear on the hub link. A tour's own link plays that tour with no panel.
Where do you build a checklist?
Open the hub from Tours → Hubs and go to the Checklist tab. If the hub has none yet, select Create a checklist. Nothing goes live until you publish.
The checklist opens as a four-step wizard: Name it → Add tasks → Appearance → Publish. The steps sit in a rail on the left, the step you're on fills the middle, and Viewer's view on the right shows the panel exactly as viewers will see it, updating as you type. The header shows where the checklist stands:
| Status | What it means |
|---|---|
| Draft — nothing is live yet | The checklist has never been published. |
| Live | Viewers see the checklist, and it matches what you've built. |
| Live · draft changes — publish to update viewers | Viewers see the last published version. Your newer edits are saved as a draft. |
Open preview ↗ in the header opens the live hub page, which shows the published checklist rather than your draft.
Your edits save as a draft as you go. When the checklist has unpublished changes, the Checklist tab shows a small dot. Once a checklist exists, the wizard opens on Add tasks and you can jump to any step from the rail.
How do you build a checklist?
Name it
The first step sets the words viewers read before they click anything.
| Field | What it does |
|---|---|
| Panel heading | The title at the top of the panel. Required to continue. |
| One line under it | An optional line under the heading, such as what the viewer will get from the list. |
| Button text when the panel is closed | The label on the launcher button viewers click to open the panel. It shows how many tasks are left beside it. |
The Viewer's view stays empty until the panel has a heading. Select Continue to tasks.
Add tasks
Choose what the first task should do. The choice decides which fields follow.
Start a tour plays one of the hub's tours, and ticks itself off when the viewer reaches the end.
Under Which tours should it include?, pick as many tours as you like. Published tours start selected, and each row shows the tour's length and whether it's Published or a Draft. Select all picks every tour not already on the checklist. Select Add N tasks to add one task per tour, named after the tour, in the order shown.
This option is unavailable when the hub has no tours.
After the first task, the step lists every task. Drag a task by its handle to reorder it; that's the order viewers see. Select + Add another task to add more. Four to six tasks is a good length for most hubs.
Select Edit on a task to change it:
| Field | What it does |
|---|---|
| Label | The task's name in the panel. |
| Sub-text | An optional second line under the label. |
| URL | Link tasks only. Where the task goes. |
| Remove task | Takes the task off the checklist. |
Select Continue to appearance.
Choose the appearance
| Setting | What it does |
|---|---|
| Theme | Light uses your brand kit's panel colors and suits most product screens. Dark reads as an overlay on top of the product, with your brand color as the accent. |
| When a viewer arrives | Open the panel right away, or Keep it closed until they click the button. Closed is the default. |
| Launcher button color | The color of the button that opens the panel. The first swatch is your brand's primary color; the others come from your brand kit, plus dark and white. Type a hex code for any other color, or select Use brand color to go back. |
| Show progress and time left | Shows a progress bar under the heading, with the number of tasks and the estimated time. On by default. |
| Always reset completed tasks | Every visit starts fresh. When it's off, a viewer who comes back on the same browser sees the tasks they already finished ticked off. Off by default. |
| CTA (optional) | A button pinned to the bottom of the panel, always visible. Choose Link to add one, or No button. |
When you add a CTA, set its Button label and URL. The label starts as Book a demo, which viewers see unless you change it. The CTA opens in a new tab.
Select Continue to review.
Publish
The last step sums up what viewers will get:
| Row | What it shows |
|---|---|
| Heading | The panel heading. |
| Tasks visible to viewers | How many tasks viewers will see out of the total, and the estimated time. |
| Appearance | The theme, whether it opens on arrival or behind the button, and the CTA label. |
| Hidden | Shown when some tasks are hidden because they start a draft tour or open a draft experience. |
Preview as a viewer opens the live hub page. Back to tasks returns to the task list.
Select Publish checklist. It goes live right away, and the step shows Live — viewers see it now. Select Done to go back to the hub's Tours tab.
Which tasks do viewers see?
You don't switch tasks on and off one by one. A task is live or hidden depending on what it points at:
| Task | Viewers see it when |
|---|---|
| Start a tour | The tour is published and serving. |
| Open a context experience | The experience is live. |
| Go to a link | Always. |
A hidden task stays on the checklist and appears as soon as its tour or experience goes live. You don't need to publish the checklist again for that.
How do you publish a draft tour from the checklist?
When a task starts a draft tour, the task row shows Tour is a draft, and a warning under the list says the task "stays hidden from viewers until that tour is published". Select Publish tour beside it to publish that tour's current draft without leaving the checklist. It shows Published ✓ when done.
Check the tour in the builder first if you're not sure the draft is ready. Publishing from here ships whatever is in the draft.
How do you change a published checklist?
Open the Checklist tab, make your changes in any step, and go to Publish. The button now says Publish changes. Until you select it, viewers keep seeing the last published version and the header says Live · draft changes — publish to update viewers.
Can a tour step open the checklist?
Yes. In the builder, set a Guide or Lightbox button's Action to Expand checklist. When a viewer selects that button on the hub page, the checklist panel opens. This is a good way to close a tour by pointing viewers back to the rest of the list.
The button does nothing when the tour plays from its own link, because there's no checklist there. See Step settings.
What do viewers see?
- The launcher button, with your label and the number of tasks left, when the panel is closed.
- The panel, with the heading, the line under it, the progress bar if it's on, the tasks in order, and the CTA at the bottom.
- A Next card on the stage when they finish a tour, naming the next unfinished task with Play (or Open for a link or experience) and a dismiss button.
Viewers' progress is kept in their own browser. It isn't shared across devices, and clearing browser data resets it.
Test it
Your checklist is working when:
- The Checklist tab header says Live, with no draft changes.
- You open the hub link in a private browser window and see the launcher button, or the open panel if you chose Open the panel right away.
- Every task you expect is listed, in the order you set.
- You finish a tour from the list, its task ticks off, and a Next card offers the next task.
- The CTA button opens the right page in a new tab.
Troubleshooting
| Issue | What to check |
|---|---|
| A task doesn't show to viewers | It starts a draft or non-serving tour, or opens a draft experience. Publish it, or select Publish tour on the Add tasks step. |
| My edits don't reach viewers | Edits save as a draft. Go to Publish and select Publish changes. |
| Start a tour is unavailable | The hub has no tours yet. Add one from the Tours tab. |
| Open a context experience is unavailable | You have no experiences yet. Build one under Content. |
| The checklist doesn't appear on a tour link | Checklists only appear on the hub link. Share the hub link instead. |
| Expand checklist does nothing | The tour is playing from its own link, where there's no checklist. |
| A returning viewer's tasks are all unticked | Always reset completed tasks is on, or they're on a different browser or device. |
| The readiness strip says a task points at a deleted tour | Remove that task on the Add tasks step. |
FAQ
Can a hub have more than one checklist?
No. Each hub has one checklist. To give different audiences different lists, use a hub for each.
Can I hide one task without deleting it?
Not with a switch. A task's visibility follows what it points at, so a task for a draft tour stays hidden until the tour is published. To hide a task for a live tour, remove it.
Does the checklist change which tour opens first?
Only if you haven't pinned one. With nothing pinned on the Tours tab, the hub link opens the tour from the first checklist task.
How is the time left worked out?
From each tour's length. Link and experience tasks don't add time.
Can the CTA go to my booking page?
Yes. Set the CTA's URL to your booking page, and change the Button label to whatever you want viewers to read.
